Required permission: creating and editing events needs the Events coordinator or Events manager role. Publishing and changing an event’s status also needs permission to publish events.

Find your events

The Events page lists your events in two tabs: Upcoming and Past. Events move to Past once they’ve ended. Search by name, filter by Status or Seating, or click a status in the counts row. Click an event to preview it in a side panel, or open its full page.

Create an event

Creating an event takes three steps: Details, Tickets (or Seats for reserved seating), and Questions. Each step tab shows a check once you’ve visited it. Click Next to move on. If something needs fixing when you create the event, the editor opens the step to fix.
1

Start a new event

On the Events page, click New event.
2

Add the details

Under Basics, enter the event Name and a Description, which supports rich text. Under Date and time, set the Start, an optional End, and the Time zone if it differs from your school’s. Click the Cover to upload an optional square image.
3

Set the location

Under Location, choose where the event happens:
  • Venue — type a Venue name and an optional Address, shown with a map link.
  • School location — pick one from your Locations list. Its address fills in, and you can edit it.
  • Online — add the Meeting link and an optional Platform, such as Zoom. The link is sent with the tickets and never shown on the public page.
Under Capacity and limits, set an optional Event capacity across every ticket type and a Max per order.
4

Choose seating and tickets

On the Tickets step, under Seating, choose Free seating (ticket types, guests sit anywhere) or Reserved seats (buyers pick their seat on a chart). For free seating, add ticket types with a Name, Price, optional Capacity, and Max per order. A price of 0 makes a ticket free. For reserved seats, see Reserved seating. Under Sales window, leave the dates blank to sell from publishing until the event starts.
5

Add registration questions

On the Questions step, choose whether to ask for a Name on each ticket: Required, Optional, or Off. Click Add from library to reuse a question from Custom fields, or add a question for this event only. Each question is asked Once per order or For each ticket.
6

Create it

Click Create event. The event is saved as a draft, ready to publish from its page.
When you edit an event later, all three tabs are open at once. Click Save changes when you’re done.
A ticket’s price locks once that ticket has sales. Seating also locks after the first sale.

Publish the event

Open the event and click Publish. If something is missing, the event page shows Before you can publish with a checklist:
  • At least one ticket type, or a seat chart for reserved seating
  • A payment provider or manual payment method switched on for Events, when any ticket is paid
  • Your school’s public page switched on
  • An event date that isn’t already over
Once published, the event is live on your public page. Copy its link from the Event page card.

Change an event’s status

From the event page, you can Pause sales and Resume sales, Close sales and Reopen sales, Move back to draft, or Cancel event. Click Edit event to change details, or Duplicate to copy the event as a new draft.
  • You can’t move an event back to draft while it has paid or pending orders. Pause or close sales instead.
  • Cancelling an event stops sales for good. You can choose Email everyone with a ticket and add a message. Events with paid or pending orders can’t be cancelled yet; close sales instead.
  • You can only Delete an event that has no orders.
