Required role: Owner or Admin
The Google Calendar integration adds approved bookings to Google calendars you choose. You connect one Google account for your whole organization, then add rules that decide which calendar each booking goes to.

Connect Google Calendar

1

Open Integrations

Open Settings to go to the Admin console. Under Workspace, click Integrations.
2

Connect your Google account

On the Google Calendar card, click Connect Google Calendar. Sign in to Google and allow Relyant to view your calendars and manage events.
3

Confirm the connection

You return to the Integrations page. The card shows Connected as with the Google account’s email address.
Use a shared or service Google account rather than a personal one. Relyant can only add events to calendars that this account owns or can edit.

Add calendar rules

Nothing syncs until you add a rule. The connected card has two sections: Location Booking Calendars and Asset Booking Calendars. Each section has its own rules.
1

Add a rule

In the section you want, click Add Rule.
2

Choose a calendar

Under Calendar, choose a Google calendar from the list.
3

Choose which bookings to send

Under Apply to, select one option:
  • All Bookings — a catch-all rule for this booking type. Each section can have only one.
  • Filter by Department — choose one or more Departments.
4

Save

Click Save Rule.

How Relyant picks a calendar

When a booking is approved, Relyant looks at the requester’s department:
  1. If a Filter by Department rule includes that department, the booking goes to that rule’s calendar.
  2. If not, the booking goes to the All Bookings calendar.
  3. If neither rule applies, the booking doesn’t sync.
To change a rule, delete it and add a new one. Deleting a rule doesn’t remove events that were already synced.

What gets synced

Relyant creates a Google Calendar event when a booking is approved, including bookings that are approved automatically when they’re created. Bookings that are submitted but not yet approved don’t sync. Each event includes:
  • Title — the booking number and its purpose, or the room or asset name if there’s no purpose
  • Description — the booking type, room or asset, requester, approver, assignees, purpose, notes, and a link to the booking in Relyant
  • Location — the room’s address, for location bookings
  • Guests — the requester, the approver, and every booking assignee
When a booking is cancelled or rejected, Relyant deletes its event. If you cancel several occurrences of a recurring booking at once, each cancelled occurrence is removed from the calendar.

Disconnect Google Calendar

On the Google Calendar card, click Disconnect, then confirm. This removes the integration and all your calendar rules. Events that were already synced stay in Google Calendar, but new bookings stop syncing.
