Required role: Owner. Admins and other roles don’t have access to billing.
The Billing page in the Admin console is where you manage your organization’s Relyant subscription. Under Your plan, you see your current plan, how many people were active this month, and, on a paid plan, your extra usage settings. Free and trial plans also see Compare all plans. Paid plans see Billing history with their invoices.

Open the billing page

1

Open the Admin console

Open Settings to go to the Admin console.
2

Go to Billing

Under Organization, click Billing. You can also click Open billing on the Billing card on the Overview page.
If you aren’t an Owner, the Billing card on the Overview page shows “Billing is managed by an Owner” instead of a link. If you open the page directly, you see an access denied message.

Who counts toward your plan

Every staff member with a verified account counts toward your plan, whatever their role. Owners, admins, staff, requesters, teachers, and custom roles all count the same. Your roles decide what people can do, not whether they count.
  • Parents and deactivated members are always free.
  • Pending invitations don’t count. A person counts once they’ve joined and verified their email.
  • Staff you add by bulk import count from their first sign-in.
Paid plans include a number of active users each month: 50 on Basic and 150 on Pro. An active user is a staff member who signs in that month. Free includes up to 5 staff accounts. The Team Members page shows a summary of your Staff accounts and Free users. See Members overview.

Active users this month

The Active users this month card shows how many staff signed in to Relyant this month. The count updates once a day. It’s for information only: the card notes that this number isn’t billed yet.

Extra usage

On some paid plans, your organization can keep using metered features after it uses up what the plan includes for the month. The Extra usage card lists each metered item:
  • Active users
  • Ask AI messages
  • Scribe transcription
For each item, the card shows this month’s usage, the amount your plan includes, how much extra you’ve used so far, and the price per extra unit. The card’s header shows the total cost of extras so far this month. Extras are charged monthly on your next invoice.
The Extra usage card appears only on a paid plan. Free and trial plans keep hard monthly limits.

Turn extra usage on or off

Every item is allowed by default. To stop an item from going past what your plan includes, turn off its Allow switch. Your changes save straight away.

Set a monthly limit

1

Enter an amount

Under Monthly limit, enter an amount in Snextto∗∗StopatS next to **Stop at S**. Leave the field empty for no limit.
2

Save

Click Save.
Once your extras reach the limit, every item stops as if its switch were off until next month. The card shows “Your monthly limit is reached. Extra usage is paused until next month.”

What people see when extra usage stops

When an item reaches what your plan includes and extra usage is switched off or the monthly limit is reached:
  • Ask AI replies that it’s paused until next month and tells people an owner can change this on the Billing page.
  • Scribe shows the same explanation instead of starting a new transcription.
Usage resumes at the start of next month, or straight away if an owner allows extra usage or raises the limit.

Payment receipts

After each payment, Relyant emails a “Thank you for your payment” receipt to the person who paid, with every Owner of your organization copied. The receipt shows the amount, invoice number, payment date, service period, and what the payment was for. It links to View invoice, Download PDF, and Manage billing. Stripe’s own receipt is also sent.

Custom plan ending banner

If your organization is on a custom plan with an end date, a banner appears across the top of every app during the plan’s last 30 days. It counts down the days left and reminds you to renew or choose a plan. Otherwise, your organization moves to the Free plan when the custom plan ends.
  • If Relyant has named a contact person for your plan, the banner shows their name and email so you know who to contact to renew. Otherwise, it asks you to contact Relyant.
  • Only people who can manage billing see the banner. It doesn’t appear on the billing pages.
  • You can dismiss the banner for your browser session. In the last week, it stays visible.
Some apps are paid add-ons, such as AI Chat Assistant and Scribe. Your organization can’t turn these on from the Apps & features page by itself. They’re turned on when your organization has a billing entitlement for them. Owners and Admins can still turn a paid add-on off.
To see which apps your organization has turned on, open Overview in the Admin console and check the Features enabled card.
