Approval settings is where you manage approval rules. Each rule names the approvers for one type of request. To review and decide pending requests, use the Approvals inbox.
You need permission to view approvals to open this page.

Open approval settings

Click Settings at the bottom of the sidebar, then click Approvals.

Request types

The page shows Approval Rules with one tab for each type of request. A badge on each tab shows how many rules it has. Only types for enabled modules appear:
Supply request, purchase request, inventory adjustment, and inventory transfer approvals are decided in the Stock & Inventory app’s approvals inbox. You still set up their rules here.
Asset Archival approvals only happen when Require approval to archive is on in asset settings.

Fill in the rule

  • Name (required) — for example, “Facilities Work Request Approval”
  • Entity Type (required) — the type of request the rule covers. It starts on the tab you selected.
  • Assets — for asset bookings only. Restrict the rule to specific assets, or leave it empty to cover every asset booking.
  • Locations — for location bookings only. Restrict the rule to specific locations, or leave it empty to cover every location booking.
  • Department — restrict the rule to one department, or keep All Departments to apply it globally.
  • Approvers (required) — one or more members who can decide matching requests. Members with the Requester role can’t be approvers.

Manage rules

Each tab lists its rules with the Name, Department, Approvers, and Active status. Location and asset booking tabs also show the Scope, which lists the selected locations or assets, or “All” when the rule covers every booking.
  • Turn a rule on or off — use the Active switch.
  • Edit a rule — click the pencil icon, change the details, and click Update.
  • Delete a rule — click the trash icon, then click Delete to confirm.
Deleting a rule also removes any pending approval requests under that rule. You can’t undo this.
