Required role: Owner or Admin, or a custom role with permission to receive purchase orders.
When a delivery arrives, record it against the purchase order. Relyant creates a goods receipt, updates the order’s status, and adds stock for items linked to inventory.

Steps

1

Open the purchase order

In the left sidebar, click Purchase Orders, then open an order that’s Sent, Acknowledged, or Partially Received.
2

Click Receive Goods

Click Receive Goods.
3

Enter delivery details

Confirm the Received Date. Optionally add the Delivery Note #, Carrier, and Tracking #.
4

Choose the receiving location

Select the Default Receiving Location. It’s used for any item without its own location.
5

Enter quantities

Under Items to Receive, lines with a variant show it next to the item name. Enter how many units you’re Receiving for each item, up to the Remaining quantity. Enter any Rejected units, such as damaged goods, and add a reason under Rejection Reasons. To store an item somewhere else, pick a different Location for it.
6

Add notes and sign

Add any Receipt Notes. If your organization requires it, sign under Signature Required.
7

Confirm

Click Confirm Receipt.

What happens next

  • A goods receipt is created with a number such as GRN-0001. See Goods receipts.
  • The order moves to Partially Received or Fully Received.
  • If the rest of a Partially Received order won’t arrive, open the actions menu and click Close Order to close it.
  • Received units of items linked to inventory are added to stock at their location and logged as Received in the inventory logs. A line with a variant adds stock to that variant.
  • Each linked inventory item’s unit cost is updated to the order’s unit cost. For a line with a variant, the variant’s cost is updated instead.
To require a signature on every receipt, turn on Require digital signature in Purchase order settings. Set Over-receipt tolerance there to accept more than was ordered on a line.
