Approvals is your inbox for Stock & Inventory decisions. It lists the requests waiting for you, so you can approve or reject them without opening each module. To open it, in the left sidebar, click Approvals. The badge shows how many approvals are waiting for you.

What appears here

The Stock & Inventory inbox covers five types of request: Work requests, bookings, transport, help desk, and asset archival approvals appear in the Facilities & Assets Approvals inbox instead.

Decide a request

The list of requests is on the left, and the selected request opens on the right with a preview of the record.
1

Open the Pending tab

The Pending tab lists requests waiting for your decision. Search by title or requester, or click Filter to show one Type. Press ↑ and ↓ to step through the list.
2

Review the request

Click a request to see who submitted it, when, its workflow and approvers, and a preview of the record. Click Open in Stock to go to the full request.
3

Approve or reject

Click Approve, or click Reject, enter a reason, and click Reject again. The requester is notified of a rejection.
After you decide, the next pending request opens automatically. Approving a supply or purchase request moves it to Approved. Rejecting it moves it to Rejected and records your reason. A purchase order waiting for approval shows Pending Approval. Approving it moves it to Approved, and it can then be sent to the supplier. Rejecting it moves it back to Draft, so it can be fixed and sent again.

Review past decisions

Click the Decided tab to see requests that were approved or rejected, with who decided and when.

Who approves

Workflows decide who approves supply requests, purchase requests, and purchase orders. To set them up, open Settings in Facilities & Assets and click Workflows, then pick Supply Requests, Purchase Requests, or Purchase Orders. These workflows run when a record is submitted, or when a draft purchase order is sent, and their only action is to set the approver. Conditions can check the amount, the requester, the requester’s department or role, and the custom fields from that module’s settings.
  • Supply and purchase requests always need approval when submitted. A workflow only decides who approves.
  • Purchase orders only need approval when a workflow names approvers. Otherwise, sending works as before.
Every role can open Approvals. The inbox lists the approvals assigned to you. If you aren’t a designated approver for a request, its Approve and Reject buttons are turned off.
