Admission forms are the public pages parents fill in to apply to your school. Every organization has exactly two forms. The Forms list tags each one as an Inquiry form or an Application form and says where its responses land.
Forms are part of the Admission feature, which your organization must turn on. You need student update permission to save changes to a form.

Edit a form

1

Open the form

In the left rail, click Admission, then Forms. Click the form you want to change. The editor has Details, Questions, and Documents tabs, with a preview beside them.
2

Set the details

On the Details tab, set the form’s Name and Description. The description is rich text, so you can format it with the editor toolbar. It shows under the name on the form and in the link preview when you share it. See Page design for the logo, banner, and background.
3

Adjust the built-in questions

On the Questions tab, click a Built-in question to rename it, add a placeholder or help text, toggle Required, or turn off Show on form. Questions marked Built-in · always on can’t be hidden.
4

Add your own questions

Click a question type under Add a question to add it to the Additional Information section. Then set its label, options, help text, and whether it’s Required. Drag questions to reorder them.
Changes save automatically. The top bar shows Saving… and then Saved.

Built-in questions

Each form collects the student’s name in one field instead of separate first and last names: Student Full Name on the Inquiry Form, and Full Name under Student Information on the Student Form. The Student Form also collects the guardian’s Full Name. Names and the parent email are always required. On the inquiry or application, the Student card shows the Full name. The Intake Year question lets families pick the academic year the child would start. It lists your school’s current and upcoming years. It’s optional, and you can make it required or hide it like other built-in questions. Staff can change the intake year later in the Pipeline card of the inquiry or application. The Admission overview counts open records by intake year.

Help text

Every question, built-in or your own, has an optional Help text under the answer (optional) box. Parents see the help text below that question on the form.

How did you hear about us?

Both forms have a built-in How did you hear about us? question. Families pick an answer such as Friend or family, A current parent, Search engine (e.g. Google), Social media, Open day or school event, School website, Advertisement, or Other. The answer shows in the Source card on the inquiry or application, and you can filter by it. Hide the question if you don’t need it.

Document checklist

On the Documents tab, click Add document for each document you collect, such as a birth certificate or last school report. For each one, set the Document name, an optional Hint, whether it’s Required, and which grades it applies to. Leave every grade unticked to apply it to all grades. Documents without a name aren’t shown on records. Staff then track each document on the inquiry or application. Required documents must be verified or waived before an offer. See Applications.

Input types

Short answer, Long answer, Multiple select, Single select, Date, Phone number, Email, Number, Link, Signature, and File upload. For select inputs, enter Options (one per line). For file uploads, choose the Accepted files and a Max size of up to 10 MB.

Page design

The Details tab also controls how the form looks and behaves:
  • Accepting responses — turn this off to close the form. Parents who open the link see that the form isn’t available. Your questions are kept.
  • Page colour — colours the title, section headers, and Submit button.
  • Logo — shown at the top of the form, above its name. A PNG with a transparent background works best.
  • Page banner — a header image across the top of the form page, also used in its link preview. Use PNG, JPEG, or WebP, at least 1600 × 400. Once you add a banner, choose a Banner height: Short, Medium, or Tall crop the image to the centre, and Whole image shows all of it.
  • Background image — fills the page behind the form, with the questions on white cards. It isn’t shown when the form is embedded on your website.
  • Welcome message — optional text shown above the questions.
  • After submitting — choose Show a message (a thank-you on the form page) or Go to a web page, such as a thank-you page on your website. The link must start with https://.
  • Submit button — the text on the submit button.

Share the form

Each form has a public link at /apply/<form-id> on your Education site. Parents don’t need an account to submit it. Click Share in the form editor to open Share form:
  • Copy — copy the public link.
  • QR code — show a QR code for the form and download it as a PNG.
  • Embed — put the form on your school website. See Embed the form.
  • Campaign link — make a tagged link for each post, email, or flyer. See Campaign links.
  • Open — view the public page.

Embed the form

In Embed on your website, click Copy embed code and paste it where the form should appear. The embedded form sizes itself to fit, and each inquiry records which page and campaign it came from. If your site builder removes scripts, click Copy iframe code instead. The dialog has steps for WordPress, Wix, and Squarespace. If someone else runs your website, click Copy instructions and send them the code and steps. In Campaign link, pick a preset, such as Instagram, Facebook, WhatsApp, Newsletter, Printed flyer (QR), or Google Ads, or fill in Source, Medium, Campaign, Content, and Term yourself. Then click Copy link or QR code. Each inquiry from that link shows its source and campaign. You can filter inquiries and applications by Campaign and UTM source. An embedded form also picks up the tags on your school’s page, so a campaign link to your website works too.
The Forms list shows whether each form is Active or Inactive. Click the open icon on a row to view the public page.

What parents see

The public page shows your logo, banner, name, description, welcome message, and questions, with any help text under each question. Required fields are checked before submission, and uploads must finish first. Parents may need to complete a short security check, which helps keep spam out. After submitting, parents see Submitted Successfully with your message, or they’re sent to your redirect URL. If you didn’t set a message, they see “Your inquiry has been received. We will be in touch soon.” Parents also get a receipt email that repeats your message. Staff who can enroll students get a New inquiry or application notification.
