Invoices is a feature your organization must turn on. Your role also needs invoice permissions: read to view invoices, create to add them, update to edit them and record payments, and delete to remove them.
View invoices
In the left rail, click Billing, then Invoices. Three cards at the top show the Invoiced, Collected, and Due totals for the invoices that match your current filters.- Search by invoice number, recipient name, or email.
- Click Filter to filter by Status: Draft, Sent, Paid, or Void.
- Click an invoice to open it. On desktop it opens in a side panel; on smaller screens it opens as a full page. In the side panel, click the expand icon to open the full page, where you can step through invoices with Previous and Next.
Create an invoice
1
Start a new invoice
Click Add invoice.
2
Fill in the invoice details
Enter an Invoice number (for example,
INV-1001) and an Issue date. Optionally click Set due date. Each invoice number must be unique in your organization.3
Choose who to bill
Under Bill to, enter the Recipient email (required) and an optional Recipient name. Use Student(s) to link one or more students.
4
Add line items
Under Line items, click Add line item. Search your inventory to link a catalogue item, or type a name to add a custom line. Set the Qty, Unit price, and an optional Discount. Relyant calculates each Line total.
5
Apply adjustments (optional)
Under Adjustments, add a Discount amount, Coupon code, Tax amount, and Tax label (for example, VAT or GST). These apply on top of the line items.
6
Save
Add an optional Note to show on the invoice, then click Save invoice. New invoices start as Draft unless you pick another Status.
Invoice statuses
You set Draft, Sent, and Void yourself by editing the invoice. Relyant doesn’t email the invoice for you, so mark it Sent once you’ve shared it.
Record a payment
1
Open the invoice
Click the invoice, then click Record payment. The button appears only when the invoice isn’t void and has a balance.
2
Enter the payment
Enter the Amount, which can’t exceed the outstanding balance. Choose a Payment method (Cash, Bank Transfer, Card, Cheque, or Other) and a Payment date. Add an optional Reference and Note.
3

Click Record payment. When payments cover the full total, the invoice changes to Paid automatically.
