Applications is part of the Admission feature, which your organization must turn on. You need student update permission to change an application, and student create permission to use Enroll as Student.
Application statuses
An application can’t move back to an inquiry status. You can’t change the status once a record is Enrolled.
Find applications
In the left rail, click Admission, then Applications. Search by name or email, or click a count in the status row. Click Filter to filter by Status, Grade, Owner, Form, How they heard, Campaign, UTM source, Documents, or Submitted date. Switch to Board to see a column per open status, from Applied to Accepted, and drag cards between them. The Docs column shows how many documents have been provided out of the total. It’s amber while required documents still block an offer.Collect documents
Each form can list the documents you collect, such as a birth certificate. See Admission forms. On an application, the Documents tab shows each document as Required or Optional, with its status: Missing, Received, Verified, or Waived. Open a document’s actions menu to Upload file, Mark received, Mark verified, Waive, or Mark missing.Work an application
An application opens with the same layout as an inquiry: Overview, Documents, and Activity tabs, with arrows to step through applications on the full page. See Review an inquiry.- Owner — in the Pipeline card, assign the staff member responsible, or leave it Unassigned.
- Intake Year — in the Pipeline card, set or change the academic year the student would start. It can’t change once the record is Enrolled.
- Move to — in the More actions menu, change the status.
- Activity — add internal notes with Add note. The timeline also records the original submission, status and owner changes, document updates, uploads, and enrolment.
Enroll the student
1
Click Enroll as Student
Open the application and click Enroll as Student. The Create Student Record dialog shows the student, grade, guardian, and guardian email.
2
Choose a class
Pick a Class in the grade applied for, or choose Don’t place in a class yet. Classes in the application’s intake year are listed first, under Intake Year, and one is pre-selected when it’s the only match. Classes in other years follow under Other years. If the intake year has no class for the grade yet, the dialog says so.
3
Check the family
If a sibling already has a guardian with the same email, the dialog shows Same family as the sibling. When that guardian has a parent account, the new guardian is linked to it, so the parent sees both children.
4
Confirm
Click Create Student. Relyant creates an active student and, if the record has guardian details, a guardian. The application is marked Enrolled and the new student’s profile opens.
