Inquiries holds families who are still deciding. Each inquiry form submission creates one inquiry. When the family applies, the same record moves to Applications, keeping its owner, documents, and activity.
Inquiries is part of the Admission feature, which your organization must turn on. You need student update permission to change an inquiry, and student create permission to use Enroll as Student.

Inquiry statuses

Waitlisted, Rejected, and Withdrawn are exits you can use at either stage. Moving an inquiry to an application status, such as Applied or Interview, turns it into an application.

Find inquiries

In the left rail, click Admission, then Inquiries.
  • Search by name or email.
  • Click Filter to filter by Status, Grade, Owner, Form, How they heard, Campaign, UTM source, Documents (All provided or Missing documents), or Submitted date.
  • Click a count in the status row under the toolbar to filter by that status.
  • Switch between List and Board. On the board, drag a card between New and Contacted to change its status.
The table shows Status, Student Name, Grade, Guardian Email, Docs, Owner, Form, and Submitted date. Click a row to open the inquiry. On desktop it opens in a side panel; on smaller screens it opens as a full page.

Review an inquiry

The header shows the student’s name, status, grade, and submission date. On the full page, use the arrows to move to the previous or next inquiry. The inquiry has three tabs:
  • Overview — the Student and Guardian cards, answers to any custom questions including uploaded files, the Pipeline card, and the Source card.
  • Documents — the document checklist, when the form lists documents.
  • Activity — the timeline of the submission, status changes, owner changes, documents, and internal notes. Only staff can see notes.
In the Pipeline card, pick an Owner to follow up, or leave it Unassigned. You can also set the Intake Year, the academic year the student would start. The More actions menu has Move to for a new status, Add note, Email guardian, and Call guardian when there’s a phone number.

Where the inquiry came from

The Source card shows the family’s answer to How did you hear about us? and the campaign tags from the link they used, such as Source, Medium, and Campaign. It also shows the page they Came from and the Form page they landed on. To tag your links, see Admission forms.

Start an application

When the family applies, click Start application in the header. The record moves to Applied and now appears under Applications. An application can’t move back to New or Contacted.

Enroll as a student

You can also enroll an inquiry directly. Choose Enroll as Student from the More actions menu. The Create Student Record dialog works the same as for an application. See Enroll the student.
You can’t enroll a Rejected or Withdrawn inquiry. Reopen it first by moving it to another status.
