The Students list holds every student in your school. Open a student to see their profile, enrollment history, attendance, support notes, tasks, and attachments.
Every role can view students. You need student create, update, or delete permissions to add, edit, or withdraw students. By default only Admin, Owner, and Super Admin have them.

Find students

In the left rail, click People, then Students. The list shows students enrolled in the academic year selected in the year picker at the top of the sidebar.
  • Search by name, nickname, or student number.
  • Click Filter to filter by Status (Active, Inactive, Withdrawn, Graduated), Grade, Class, or Age. Each student label group you’ve set up also appears as a filter. Filters you set show as chips beside the menu.
  • The list shows Active students by default. Click Clear to see everyone.
Columns include Name, Student ID, Age, Grade, Class, and Status. A student’s nickname shows in brackets after their name.

Arrange the list

  • Sort — click a column header to sort by it. Grades sort by level.
  • Group — group students by Grade or Class. Each group has a header with its student count across all pages. Click a header to collapse the group, or use its checkbox to select the group’s students on the page.
  • Columns — show, hide, and reorder columns. Optional columns are Date of birth, Gender, Nationality, Religion, Enrolled, Family email, and Labels.
Your columns, grouping, and sort are remembered in your browser.

Add a student

1

Start a new record

Click New student, then Create new student.
2

Enter the details

Enter the student’s Full name. You can also add a photo (JPEG, PNG, GIF, or WebP, up to 5 MB), Nickname, Student #, Enrollment date, Date of birth, Gender, Nationality, Religion, Address, class, Status, Notes, and any custom fields.
3

Save

Save the form. The student appears in the list.
Nationality is a country picker. Your school’s country is listed first and is selected for new students. To bring returning students into the selected year, click New student, then Import from another year. Select students who aren’t enrolled in that year yet and click Add. To add many new students at once, click Import. See Import students.

Update students in bulk

Select rows with the checkboxes, then choose Assign Label, Assign Class, or Update Status.

Student profile

Click a student to open their profile. The header shows the student’s photo, name, and current class. Use the arrows on the right, next to the position in your list, to move to the previous or next student. All actions are in the More actions menu: Email guardian, Add note, Edit details, Transfer, Change status, Change photo, Manage labels, and Withdraw student. If Cases is on, it also has New Case. Edit the Details card inline, or click Edit details. It holds Full name, Nickname, Student number, Date of birth, Gender, Nationality, Religion, Grade, Address, and Family email, the school-issued email address for the family.

Record attendance for an untracked day

The Attendance tab also lists school days with no record as Untracked. If you have attendance edit permission and can mark the class the student was in that day, pick a status on the row to record it.

Record a behaviour incident

On the Behaviour tab, click Log incident. The incident editor opens with the student already added. See Behaviour.

Change enrollment or status

  • Transfer moves the student to another class. Pick a Target class and a Reason: Transferred, Promoted, or Enrolled.
  • Change status opens Update Student Status. Choose Moved to another school, Graduated, Mark as inactive, or Reactivate. The first two close the student’s current class enrollment.
  • In the More actions menu, Withdraw student closes any active enrollment and keeps historical records.
