People is your organization’s employee directory. You can search and filter employees, open a profile, and keep records up to date in bulk with a spreadsheet.
People appears under Workspace in the HRIS sidebar when the Employees feature is on for your organization and you have permission to view employee records.

Find an employee

The list shows Active employees by default. Each row shows the Person, Employee ID, Job title, Department, Type, and User status. When your organization uses employee labels, a Labels column shows each person’s labels.
  • Type in Search people… to search by name, email, or employee ID.
  • Click Filter to filter by Status (Active, On leave, or Left), Department, Type, or User (Linked, Invited, or No user). When Staff Documents is on, you can also filter by Documents. When you use employee labels, you can filter by Label.
  • Click a row to open the employee’s details beside the list. On a phone, the profile opens as its own page.
Click Org chart to see who reports to whom.

Label employees

Labels tag people with things like their campus or team. Set up the labels in Settings › Employee labels. Each person has at most one label per group. To label many people at once on a tablet or computer:
1

Select people

Tick the boxes next to the people you want, or tick the box in the header to select everyone shown.
2

Assign or remove a label

In the row above the table, click Assign label or Remove label. Pick a label and confirm. Anyone who already has a label in that group gets the new one instead.
To change one person’s labels, open their profile and edit the Labels card. You need permission to update employee records to change labels.

Export employees

1

Open the export menu

On People, click Export.
2

Choose a format

  • Excel (.xlsx) — every employee in a spreadsheet. The file includes an Allowed values sheet that lists the valid choices for columns like Department and Employment type.
  • CSV — the same data as a CSV file.
  • Blank template (.xlsx) — just the column headers, ready for new employees.
  • Excel with Government ID — the Excel export plus the Government ID number column. It appears only if you have permission to view sensitive employee fields, and each download is recorded in the audit log.
The export always includes every employee, not just the ones your filters show. It covers profile and employment details, plus most of your organization’s custom employee fields.
The file includes each employee’s Children and Education. Other sensitive fields, such as passport and bank details, aren’t in the file, and Government ID number is only in Excel with Government ID. The Status (employment status) and Login columns are for reference only, so changes to them aren’t imported. Change these on the employee’s profile.

Update employees from a file

You need permission to change employee records. To add new employees from the file, you also need permission to add them.
1

Edit your export

Open the exported file in Excel or Google Sheets and make your changes. Leave a cell blank to keep its current value. Type - to clear a value.
2

Open Update from file

On People, click Export, then Update from file.
3

Upload the file

Click Choose file and pick your .xlsx or .csv file. A file can have up to 500 rows.
4

Pick the date format

Under Dates like 06/07/2024 are, choose Day / Month or Month / Day. Dates with month names, in English or Indonesian, work either way.
5

Review the preview

Relyant checks every row before saving anything. Use the All, Changes, New, Errors, and Unchanged tabs to review each row and the exact values that will change.
6

Apply

Click Apply. Rows with errors are skipped. Click Download error rows to get a file of those rows with the reason, fix them, and upload again.

How rows are matched

Each row is matched to an existing employee in this order:
  1. Relyant ID — the ID column from the export. Don’t edit it.
  2. Employee ID, if the row has no Relyant ID.
  3. Work email, if neither matches.
A row that matches no one is added as a new employee and needs a Name. To send them their joining document requests, select Send joining document requests to new employees before you apply.
If a department in the file doesn’t exist yet, the preview lists it under New departments will be created. Columns Relyant doesn’t recognize are listed under Ignored columns.
For employees linked to a Relyant user, the name and work email come from the user’s account. The file can’t change them.

Gender, religion, children, education, and Government ID

  • Gender and Religion — use one of the values on the Allowed values sheet. Common spellings also work, such as L or Laki-laki for male, P or Perempuan for female, and Moslem, Christian, Catholic, Budha, or Lainnya for religion. Any other value shows as an error in the preview.
  • Children — write each child as Name (date), one per line or separated by ;. If the row has no Dependents value, the number of children sets it.
  • Education — write each entry as Level | Field | Institution | Year, one per line or separated by ;. To record the degree, add it at the end: Level | Field | Institution | Year | Degree. If you leave the degree out, the entry keeps the degree already saved for the same institution and level. Add an empty last part to clear it.
  • A filled Children or Education cell replaces the employee’s whole list. Leave it blank to keep the current list.
  • Government ID number is imported only if you have permission to edit sensitive employee fields. Otherwise the preview shows a warning and the value isn’t changed. The preview masks the stored Government ID.
