# Transport overview

> Request school trips, assign vehicles and drivers, and track trip costs

**Transport** handles school trips from request to completion. Staff submit transport requests, approvers assign a vehicle and driver, drivers complete the trip, and requesters rate the experience.

> [!NOTE]
>
> Transport must be turned on for your organization. You need read access to transport requests to open it. To get there, click the **Transport Requests** tile on the home screen.

## Tabs

| Tab | Use it to |
| - | - |
| **Requests** | View, approve, and assign transport requests in a list or board |
| **Schedule** | See trips on a calendar by vehicle or driver |
| **Vehicles** | Browse the vehicles available for trips |
| **Fees** | Record and review parking, toll, fuel, and other trip costs |
| **Reviews** | Read requester ratings of drivers and vehicles |

The **Requests** tab shows a badge with the number of pending requests.

## Request statuses

| Status | Meaning |
| - | - |
| **Pending** | Submitted and waiting for approval |
| **Approved** | Approved, with a vehicle assigned |
| **Completed** | The trip is done |
| **Rejected** | Declined, with a reason shown to the requester |
| **Cancelled** | Withdrawn before the trip |

## How a trip works

1. A staff member submits a transport request with the purpose, route, and times.
2. If **Requires Approval** is on, the request stays **Pending**. An approver clicks **Approve & Assign** and selects a vehicle and, optionally, a driver.
3. After the trip, the driver or an admin clicks **Complete Trip** and can record start and end odometer readings.
4. The requester gets an email with a link to rate the trip from one to five stars. Ratings appear on the **Reviews** tab.

> [!TIP]
>
> Requesters can cancel their own request while it's still **Pending**.

## Settings

Admins configure Transport under **Settings** > **Transport**:

* **Transportation Asset Categories** — asset categories whose assets count as vehicles
* **Who can be a driver?** — roles that can be picked as drivers; leave empty to allow everyone
* **Default Departure Location** — the starting point filled in on new requests
* **Custom Request Fields** — extra fields people must fill in when creating a request
* **Requires Approval** — hold new requests as pending until an admin approves them
* **Driver Conflict Warning** — warn when a driver already has an overlapping trip
* **Minimum Notice** — how many hours before departure a request must be submitted
* **Request Number Prefix** — the prefix for reference numbers, such as `TR-0001`

Completed trips also appear in **Reports** > **Transport**, which shows trips, distance, fees, and cost per kilometer by vehicle and driver.
