# Update work order status

> Move a work order through its lifecycle from open to completion

> [!NOTE]
>
> You need permission to update work orders. **Owners**, **Admins**, and **Members** have it by default.

## Statuses

| Status | When to use |
| - | - |
| **Open** | Created, not yet started |
| **In Progress** | Work has begun |
| **Blocked** | Work can't continue, for example while waiting on parts, access, or approval |
| **In Review** | Work is done and waiting to be checked |
| **Completed** | Work is finished |
| **Canceled** | The work order is no longer needed |

There is no fixed order. You can move a work order from any status to any other status.

## Steps

**1. Open the work order**

In the sidebar, under **Maintenance**, click **Work Orders**, then click the work order.

**2. Click Update Status**

Click **Update Status** at the top of the work order.

**3. Choose the new status**

Under **New Status**, select a status.

**4. Add notes and files (optional)**

Add **Notes** to explain the change, for example "Waiting on replacement part". You can also click **Take Photo**, **Record Video**, or **Browse Files** to attach files.

**5. Save**

Click **Update Status**.

The status change appears in the work order's **Activity** log with your name and the time. Any notes and files you added appear under **Comments**, tagged with the status.

> [!TIP]
>
> You can save notes or files without changing the status. They appear under **Comments**, tagged with the current status.

## What happens when the status changes

* The assignee gets an email about the status change.
* When you set **Completed**, Relyant records the completion date. If you later move the work order out of **Completed**, the completion date is cleared.
* When you set **Canceled**, the assignee and the requester get a cancellation notice.
* If the work order came from a maintenance request, the person who submitted the request gets an email about each status change and each new note.
