# Work orders overview

> Create, assign, and track maintenance tasks across your organization

A work order is a maintenance or repair task. Each work order tracks what needs to be done, where, who is responsible, how urgent it is, and its current status.

Work orders can come from several places:

* You create one directly from the **Work Orders** page.
* A maintenance request is converted into a work order.
* A preventive maintenance schedule generates one automatically. These show a **PM** badge next to the work order number.
* You create one from an asset, a location booking, or an asset booking. The work order is linked to that record.

## Open work orders

In the sidebar, under **Maintenance**, click **Work Orders**.

On a desktop screen, clicking a work order opens it in a side panel next to the list. Click the open full page button in the panel to see the full detail page. On smaller screens, the work order opens as its own page.

## Work order statuses

| Status | Meaning |
| - | - |
| **Open** | Created but not yet started |
| **In Progress** | Work is underway |
| **Blocked** | Work can't continue, for example while waiting on parts or access |
| **In Review** | Work is done and waiting to be checked |
| **Completed** | Work is finished |
| **Canceled** | The work order is no longer needed |

New work orders start as **Open**. You can move a work order to any other status at any time. See [Update work order status](https://docs.relyant.app/facilities/maintenance/work-orders/update-work-order-status.md).

## Priority levels

Each work order has one of three priorities: **Low**, **Medium**, or **High**. New work orders default to **Medium**.

## Find work orders

### Quick filter tabs

Use the tabs above the list to narrow the scope:

* **All** — every work order you can see
* **Assigned to Me** — work orders assigned to you
* **Created by Me** — work orders you created

### Status counts

A row of status counts sits above the list. It shows how many work orders are in each status for the current tab. **Open** always shows. Other statuses show only when they have at least one work order.

Click a count to add that status to the status filter. Click it again to remove it. You can select several statuses at once.

> [!NOTE]
>
> The status counts follow the selected tab only. They ignore your other filters, so they stay a stable reference while you narrow the list.

### Search and filters

Search by work order number, title, or description. Then combine any of these filters:

| Filter | Options |
| - | - |
| **Status** | Select one or more statuses |
| **Priority** | **High**, **Medium**, **Low** |
| **Category** | Your work order categories |
| **Location** | Your locations |
| **Assignee** | Any member, or **Unassigned** |
| **Requester** | Any member |
| **Rating** | 1 to 5 stars. Shows only when work order ratings are turned on. |
| **Due Date** | **Overdue**, **Due in 1 day**, **Due in 3 days**, **Due in 1 week**, **Due in 1 month**, **Due in 3 months**, **No due date**, or **Custom** |
| **Created Date** | **Last 1 day**, **Last 3 days**, **Last 1 week**, **Last 1 month**, **Last 3 months**, or **Custom** |

Click **Clear** to remove all filters. On mobile, tap the filter button to open the filters panel.

### Sort the list

In the list view, click a column header to sort by that column. Click it again to reverse the order. You can sort by **Number**, title, location, asset, category, status, priority, assignee, requester, start time, end time, due date, created date, and rating.

> [!NOTE]
>
> Sorting applies to the work orders on the current page. By default, the newest work orders appear first.

### List and board views

Click **List** or **Board** to switch views. The board view groups work orders into columns. Click the settings button next to the view toggle to adjust the board. Relyant remembers your choice for your organization.

## Who can do what

| Role | Work order access |
| - | - |
| **Owner** and **Admin** | Create, view, edit, assign, and delete all work orders |
| **Member** | Create, view, and edit work orders. Members can't delete work orders. |
| **Requester** | View only the work orders they created, requested, or are assigned to, or that came from their own requests |
