# Assets overview

> Track equipment, vehicles, furniture, and other physical items across your organization

Assets are the physical items your organization tracks, such as equipment, vehicles, furniture, and IT devices. Each asset has a record with its category, status, location, parent asset, images, and work order history.

To open assets, in the sidebar, under **Resources**, click **Assets**.

> [!NOTE]
>
> You need read access to assets to open the **Assets** page. Creating, editing, archiving, and deleting assets each need their own permission. By default, members and requesters can view assets but not change them.

## Key concepts

| Concept | Description |
| - | - |
| **Asset** | A single physical item you track |
| **Category** | A group of similar assets, such as **HVAC** or **Technology** |
| **Asset hierarchy** | A parent-child link between assets, such as a vehicle and its components |
| **Location** | The place where the asset sits, picked from your [locations](https://docs.relyant.app/facilities/locations/overview.md) |
| **QR codes** | Codes you print and stick on the asset to report issues or look it up |
| **Bookable asset** | An asset that people can reserve through [asset bookings](https://docs.relyant.app/facilities/bookings/asset-bookings/overview.md) |

## Asset statuses

| Status | Meaning |
| - | - |
| **Operational** | In service. New assets start with this status. |
| **Maintenance Required** | Needs maintenance |
| **Out of Service** | Not usable |
| **Pending Archive** | An archival request is waiting for approval |
| **Archived** | Hidden from active lists, work orders, and bookings |

The **Assets** list hides archived and pending archive assets unless you filter by those statuses.

## Asset conditions

You can also record a **Condition** for each asset: **Excellent**, **Good**, **Fair**, or **Poor**.

## Find assets

On the **Assets** page, you can:

* Search by name, serial number, or description.
* Filter by **Status**, **Category**, **Hierarchy**, **Location**, and **Age** (based on the purchase date).
* Expand a parent asset row to see its child assets.
* Click an asset to open its details in a side panel. Click the arrow icon in the panel to open the full page.

## Asset details

The asset page has these tabs:

| Tab | Shows |
| - | - |
| **Details** | Basic information, classification, manufacturer details, financial information, location and parent asset, maintenance dates, and system information |
| **Work Orders** | Work orders linked to the asset |
| **Bookings** | A booking calendar. Appears only for bookable assets. |
| **Fees** | Transport fees recorded against the asset. Appears only when Transport is turned on and you can view fees. |

From the asset page, you can also click **Create Work Order**, or **Create Booking** for a bookable asset. **Edit**, **Delete**, **Generate QR**, and **Archive** are in the actions menu.

## Archive an asset

Archiving hides an asset from active lists, work orders, and bookings without deleting it.

**1. Open the asset actions**

On the **Assets** page, open the row menu for the asset. Or open the asset and use the actions menu.

**2. Archive**

Click **Archive**, then click **Archive** again to confirm.

If your organization turned on **Require approval to archive** in [asset settings](https://docs.relyant.app/facilities/settings/asset-settings.md), the asset moves to **Pending Archive**. An **Asset Archival** request goes to [Approvals](https://docs.relyant.app/facilities/workspace/approvals.md). If the request is approved, the asset is archived. If it's rejected, the asset returns to its previous status.

To restore an archived or pending archive asset, click **Unarchive**. The asset returns to **Operational**, and any pending archival request is canceled.

## Delete an asset

Click **Delete** in the row menu or the asset's actions menu. The confirmation dialog shows what the deletion affects:

* Child assets are deleted too.
* Linked work orders stay, but their asset link is cleared.
* Linked bookings stay.

> [!WARNING]
>
> Deleting an asset can't be undone. Archive the asset instead if you might need it again.

## Bulk actions

Select assets in the list to show the bulk action bar. You can:

* **QR Codes**: Print or download QR codes for the selected assets.
* **Set as Bookable**: Make the selected assets bookable.
* **Assign Location**: Move the selected assets to one location.
* **Assign Category**: Put the selected assets in one category.
* **Delete Selected**: Delete the selected assets.

## Import and export assets

Click **Settings** at the top of the **Assets** page, then click:

* **Import Assets** to upload a CSV or Excel file. Click **Download Template** in the dialog for the correct format.
* **Export Assets** to download the current filtered list as CSV or Excel.
