# Year-end transition

> Move students and classes into a new academic year and promote students to their next grade

> [!NOTE]
>
> **Required role:** **Owner** or **Admin**. You need permission to create classes and enroll students.

At the end of a school year, you set up the next one by bringing your students and class structure forward. Before you start, [create the new academic year](https://docs.relyant.app/edu/settings/academic-years.md) and check your [grades](https://docs.relyant.app/edu/settings/grades.md) are in order.

Go to **Settings → Academic Years** and click the **Year Transition** tab. You can also open a year and use its **Transition** tab. That tab uses the open year as the target, so you only pick a **Source Year**.

## Choose the years and action

1. Pick the **From year** (the year you're copying from) and the **To year** (the new year).
2. Choose an **Action**: **Transfer Data** or **Grade Advancement**.

## Transfer data

Use **Transfer Data** to copy records into the new year as they are.

**1. Pick what to transfer**

Set **Data Type** to **Students** or **Classes**, and optionally filter by **Grade**.

**2. Select records**

Relyant pre-selects every eligible record. Students already enrolled in the new year, and classes whose grade and name already exist there, are left out.

**3. Transfer**

Click **Transfer *n* Students** (or **Transfer *n* Classes**) and confirm with **Proceed**.

* **Students** are enrolled in the new year with no class assigned.
* **Classes** copy the class structure only, meaning names and grades. Students aren't moved with them.

## Grade advancement

Use **Grade Advancement** to enroll a group of students in the new year and place them in a class in one step.

**1. Choose the source grade**

Under **Source Grade**, pick the grade the students were in last year.

**2. Choose the target class**

Under **Advance to Class**, pick a class in the new year. Create classes in the new year first if the list is empty.

**3. Advance**

Review the selected students, click **Advance *n* Students**, and confirm with **Proceed**.

## Guided three-step flow

Relyant also has a guided **Year Transition** page at `/transition` in the Education app, with three tools. It preselects the current year as the **From year** and the following year as the **To year**. Work through the tools in order:

| Step | Tool | What it does |
| - | - | - |
| 1 | **Enrol Students** | Enrolls active students from the source year into the new year without a class. Search by name or student number to adjust the selection. |
| 2 | **Copy Classes** | Copies your class structure, grouped by grade. Classes that already exist in the new year are skipped. |
| 3 | **Class Allotment** | Assigns unassigned students in the new year to classes, by multi-select or drag and drop. |

After **Enrol Students** finishes, click through to **Class Allotment** to continue.

### Class allotment

In **Class Allotment**, pick a **Year** and a **Grade**. Select students under **Unassigned Students**, then either drag them onto a class or pick a class under **Assign to:** and click **Assign →**.

Badges compare each student with their previous class:

| Badge | Meaning |
| - | - |
| **↑ +1** | Promoted (normal) |
| **↺ retained** | Same grade as last year |
| **↑↑ skip** | Skipping a grade |

> When the transition is done, [archive](https://docs.relyant.app/edu/settings/academic-years.md#archive-a-year) the old year to close its remaining enrollments.
